Revision Analysis in Retail

At all times cash register revisions have been of prior importance for retail because losses due to employee thefts are enormous. For example, in an internal document the company “Plus Warenhandelsgesellschaft mbH” estimates the yearly losses caused by fraudulent acts at the cash register by 21 Mio. Euro. And this is not an isolated case.

Because the volume of cash register data is in the Tera-Byte range, a complete cash register revision was impossible for a long time. Thus the revision staff has had to check vast quantities of printed cash register reports every day in order to detect fraudulent acts. As a rule, this was only possible by taking random samples and hence a large number of thefts remained undiscovered.

For reducing such losses substantially, a complete analysis of all sales slips is necessary. However, the large data volumes make this a really complicated task for the analysis software. The response time of analysis systems, based on a relational databases, is too high for such data volumes to conduct an efficient revision analysis. Interactive ad-hoc queries haven’t been possible, so far.

However, analysis systems based on OLAP (Online Analytical Processing) provide short response times even for large data volumes and hence can also by used for ad-hoc queries. The  MERKUR MINER PLUS represents such an OLAP-based analysis system which is especially capable of solving the tasks of revision analyses.

Using, the MERKUR MINER PLUS you can calculate and visualise e.g. the following measures:

Number, sum, and average of cancellation sales slips and immediate cancellations
Number of zero and aborted sales slips
Number, sum, and average of returns
Number and sums of price changes and rebates
Number and sum of purchases by employees
Positive and negative cash register differences

The measures can be grouped and displayed by different dimensions (store, cash register, cashier, time, etc.).

Additionally, the user can select from different aggregation levels. In a store summary e.g. the revisor gets an overview over the measures of all stores. By selecting a special store she receives a cashier overview of this store. Moreover, by selecting a special cashier all single transactions (e.g. cancellation sales slips) including all appropriate information like date/time/cash register and all related product information like product name, number, sales price, are available.

Since not each deviation automatically means a theft, the revisor can define threshold values for all measures to list the corresponding transactions. For example, all those cashiers can be listed whose cash register difference exceeds a value of 10 Euro or which have produced more than 5 cancellation sales slips or a cancellation value over 50 Euro.

Due to the high request speed and the high interactivity of the system, eventually complete cash register revisions can be performed and in case of deviations even the data of the single transactions can be displayed. Countermeasures can be immediately launched that will reduce losses.
